Marketing for events, festivals and trade fairs

WHAT WE DO
Festivals, evening events, trade fairs, corporate events
HOW THEY FILL UP
Advance sales, invitations, prize games, live social media
AFTER THE EVENT
The contacts stay, and the next edition starts from there

IN SHORT

An event is a promise with a date. We prepare it like a campaign: the page with advance ticket sales and bookings, the invitations, the games that collect contacts (like Metzger's wheel of fortune), live social media and the emails that go out before, during and after. We do it for festivals and evenings such as Metzger Fest, for Tebis's trade fairs and for the corporate events created with Base Running.

An example, from Metzger

THE WHEEL THAT GROWS THE LIST

ONE SPIN, ONE CONTACT

  1. 01

    Leaves their email

The pop-up asks for the address and consent, and offers a spin in return.

  2. 02

    Spins the wheel

    A real prize: a single-use discount code, a gift, a ticket.

  3. 03

    Gets the code

It arrives straight away by email, valid once only.

  4. 04

    Enters the automations

Reminders to use it, event invitations, newsletter.

For Metzger the wheel sits on the website and works even when there’s no event on the calendar: every spin is one more contact to invite to the next event.

What’s included

WHAT WE DO,
IN PRACTICE

  • 01

Event pages with advance ticket sales

A page for every event, with programme, tickets, advance sales and time-slot bookings. Like the ones for Metzger Fest, Terra Madre and the day dedicated to bars and restaurants.

  • 02

    Games that collect contacts

Wheels of fortune with single-use discount codes, competitions, quizzes to play at the stand. People who play leave their email, and people who leave their email enter the automations.

  • 03

    Invitations and reminders

Emails and messages for people who are still deciding, confirmations and reminders for those who have already booked, with times, map and what to bring.

  • 04

    Trade fairs

Before, during and after the fair. The stand announcement, targeted invitations, meetings to book and a different follow-up for people who visited the stand and for those who didn't come.

  • 05

    Live social media

The story of the event days as they happen, with stories, short videos and photos. Event day is when the memories are made that bring people back to the next edition.

  • 06

    Campaigns to fill the room

Social and Google advertising to bring in the right people, pushed on the days that matter. Also for events that live in the city, in bars and restaurants, at trade fairs.

  • 07

    Corporate and sponsor events

Formats created with a company or a partner, from a run inside a factory to a team-building contest between colleagues. Like Base Running's, which we promote and fill.

  • 08

    Contacts that stay

Every registration, ticket and game played ends up in the CRM or the email list, with the right consent. So the event ends, but the relationship doesn't.

An event fills up beforehand

Event day is the part everyone sees. The real work happens in the weeks before, when you need to give people a reason to save the date and a simple way to say yes. That’s why we start from the page: a clear programme, advance sales and bookings that take a minute on a phone.

Playing to get to know each other

A wheel of fortune, a competition, a quiz at the stand. They look like details, but they’re the friendliest way to get to know the people who are interested. For Metzger, the wheel on the website hands out single-use discount codes and brings contacts into the automated emails on Brevo.

The day after matters as much as the day before

People who came expect a thank-you, the photos and a reason to come back. People who didn’t come deserve an invitation for next time. We prepare it in advance, so the day after takes care of itself.

If the event is a running race, it has a page of its own: marketing for running events.

How we work

AN EVENT, FROM THE DATE TO THE DAY AFTER

  1. 01

    We set the goal

How many people, which people, what needs to happen afterwards. Filling a party and bringing buyers to a stand are two different jobs.

  2. 02

We build the page and the advance sales

Programme, tickets, time-slot bookings, map. Everything people need to say yes in a minute, from their phone.

  3. 03

    We build anticipation

Invitations, social media, campaigns and a game that collects contacts. Every week a new reason to save the date.

  4. 04

    On the day, we're there

Live stories, photos and videos, contacts collected at the stand or at the entrance, quizzes and competitions for passers-by.

  5. 05

The day after, we follow up with those who came

A thank-you, the photos, an offer for those who came and an invitation for those who missed it. And the numbers, to plan the next edition.

We did it for

THE PROJECTS WHERE
WE DID IT

All our work

Better said up front

WHEN WE'RE NOT THE RIGHT CHOICE

NO

You need someone to build the stage

Staging, catering, audio and security are a different job. We work with the people who do them, and we make sure the right people hear about it.

NO

The event is next week

Something can be done, but an event fills up in the weeks before. If it's too late we'll tell you, and we'll prepare the next date properly.

NO

You don't want to keep the contacts

Much of an event's value lies in the people you meet on the day. If nobody follows up with them afterwards, half the work is lost.

The questions we get asked

THE QUESTIONS WE GET ASKED MOST

Do you handle small events too?

Yes, if there's a clear goal. An evening at a brewery, a customer day or an open day are prepared with the same tools as a festival, just on a different scale.

How does the wheel of fortune work?

It's a pop-up on the website: people who leave their email spin the wheel and win a single-use discount code. The contact goes straight into the automated emails, with the right consent. For Metzger it's connected to Brevo and grows the list even far from the events.

Do you work on trade fairs too?

Yes. For Tebis we prepare the stand announcement, the targeted invitations, the meetings to book and the post-fair follow-up, which differs for people who visited the stand and those who weren't there.

Can you manage advance sales and bookings?

Yes. We build event pages with tickets, advance sales and time-slot bookings, connected to confirmation emails and reminders. So you know at any moment how many people to expect.

What about running events?

They're where our heart is, and they have a page of their own: marketing for running events, with Base Running, Infront and Equilibra Running Team.

La pagina degli eventi Metzger con le prenotazioni

TELL US ABOUT YOUR EVENT

The date, the venue, who you'd like to see walk through the door. We'll tell you how we'd promote it, and what happens the day after.

Ask for information

Events and trade fairs: how would it work for you?

Tell us what you’re interested in and where you’re starting from. The person who runs this service at the agency will get back to you with timing, approach and a rough idea of costs for a case like yours.
